About the Role

The Regulatory and Proposal Associate provides administrative and operational support to the Business Development and Administrative Offices. This role focuses on documentation management, regulatory compliance, proposal coordination, and monitoring of business development activities to ensure smooth execution of projects, partnerships, and organizational growth initiatives.

The position plays a key role in maintaining compliance with regulatory requirements, supporting proposal submissions, and ensuring accurate and timely documentation across all company operations and affiliates.

Requirements

Provide administrative and operational support to the Business Development Office


Assist in preparing business proposals, reports, presentations, and official correspondence


Maintain and update records of clients, partners, and business development opportunities


Monitor timelines, submissions, and documentation related to business development initiatives


Process, renew, and maintain all regulatory and compliance requirements for company operations and business affiliates


Prepare and submit applications for renewal of sanitary permits for business establishments and delivery vehicles


Oversee processing and renewal of insurance policies including general liability, workers compensation, and vehicle insurance


Prepare and file business licenses, annual corporate reports, occupancy permits, and fire permits


Maintain and update the companys SAM System for Award Management registration to ensure eligibility for government contracting


Organize, upload, and maintain regulatory and corporate documents in structured digital filing systems to ensure accuracy, accessibility, and compliance


Conduct regular monitoring of RFPs and ITBs, support proposal preparation, and ensure timely submission of required documentation


Maintain complete and up to date documentation for all PSS RFP requirements to ensure compliance with solicitation guidelines and audit readiness


Prepare weekly client billing, compile supporting documentation, and submit complete and accurate billing packages for collection


Support compliance with internal procedures, reporting standards, and operational requirements for the firm and its affiliates

About the Company

Education
Bachelors degree in Business Administration, Management, Marketing, or a related field

Experience
Entry level to two years of relevant administrative, regulatory, or office support experience
